Services · Automation & AI

Digital processes that take over routine work reliably.

We connect workflows, data sources and existing tools, automate recurring steps and use AI where it creates traceable value – for knowledge access, support, document processing or lead qualification.

Where to start

E-invoicing & document flow

from €4,900

incoming and outgoing · existing systems stay · technical implementation, not tax advice

Sound familiar?

  • Data is typed from one system into the next.

  • Quotes, invoices and approvals depend on individual inboxes.

  • Answers sit in documents nobody can find quickly.

  • E-invoicing is coming, and the merchandise management system cannot do it yet.

Services & prices

What we automate.

Small starting points at a fixed price, projects at a fixed price on a scope agreed in writing beforehand, ongoing work cancellable monthly.

Where to start

E-invoicing & document flow

Incoming invoices are captured, checked and routed automatically; outgoing invoices are produced as XRechnung or ZUGFeRD from your existing merchandise management system.

Single workflow

A recurring process runs by itself – for example taking enquiries into the CRM, syncing data between two systems or producing a report.

Scopeone process · up to three systems · two to three weeks

from €3,900

Enquire

Process chain, e.g. enquiry to quote

Several steps across several systems: an enquiry from the portal or email, the customer from the CRM, the calculation from the ERP, a draft quote – and a person keeps the approval.

Document processing

Delivery notes, order confirmations or forms become structured data and land where they are needed.

Customer portal & production integration

Customers see order status, documents and appointments for themselves – or a proven process is fully integrated, tested, documented and handed over into operation.

All prices net, plus VAT. Fixed prices apply to a scope agreed in writing beforehand – nothing inside it is billed on top. Monthly services can be cancelled at the end of any month. The digitalisation check is credited if a follow-up order is placed within three months.

Example project

How a process pipeline runs.

  1. Week 1

    Pinning down the process

Rules, exceptions and responsibilities in writing: when does a framework contract apply, who approves above which amount, what happens to special requests and incomplete enquiries?

What you have afterwardsA process description, signed off by sales and management

  2. Weeks 2 to 4

    Connecting and building

Customer portal and inbox as the entry, terms and master data from the ERP, the draft quote as a PDF. Approval stays with sales – the automation prepares, a person decides.

What you have afterwardsA running process in a test environment

  3. Week 5

    Running in parallel

Real enquiries go through both routes. Where the system decides differently from sales, the rule is sharpened until both agree.

What you have afterwardsA list of deviations, fully worked through

  4. Week 6

    Go-live and handover

Switch-over, training, documentation. Every run is logged and traceable – including the one that got stuck on an exception.

What you have afterwardsA live process, documentation and an overview of every run

Outcome

Sales checks and approves instead of retyping. What gets measured was agreed before the start: the time to a quote and the number of follow-up questions.

What the result looks like

An automation on a laptop: the trigger, condition and actions of an enquiry-to-quote run with the systems involved and the recent runs.
Example interface · automation
  1. One enquiry. No retyping.

The portal starts the workflow. The CRM supplies the customer record and the matching framework agreement.

  2. Existing data keeps working.

Pricing comes from the ERP. It becomes a draft quote, stored in one central place.

  3. The decision stays with you.

The workflow requests approval. A person decides whether the quote moves forward.

Frequently asked questions

  • By when do we have to issue e-invoices?

Businesses have had to be able to receive them since 1 January 2025. Businesses with prior-year turnover above €800,000 must issue them from 1 January 2027, all others from 1 January 2028; exemptions apply to small businesses. Which rule applies to you is a question for your tax adviser – we implement the technical side.

  • Do we need to buy new software for this?

Usually not. We connect the systems you already use – CRM, ERP, merchandise management, inbox, website. We only recommend new software when what you have cannot carry the task.

  • Does the AI make the final decision?

No. Where a decision has consequences – a quote, a payment, an approval – it stays with a person. The automation prepares, a person approves.

  • Where do the AI assistant’s answers come from?

From the documents you release. Every answer names the passage it comes from, so your team can check it.

  • What happens if an automation fails?

With operations & support (from €390 / month) we monitor the processes and fix errors. Without a contract you get documentation your team or another provider can continue from.
